- Before you finalize a date and event title, check the Academic Calendar and COWS Scheduling System for scheduling conflicts. Please note that LSA will only fund 2 non-Culture Week lunch events per day.
- Contact Marketing and Public Relations in the External Relations Office before planning large events, particularly symposia. They can help schedule a meeting with the appropriate staff to further discuss any marketing or public relations needs. King Hall puts a strong emphasis on marketing, public relations, and event coordination and has an office to assist with planning and approval of all uses of the King Hall's logo and identity. Information about the Office of Marketing and Public Relations can be found HERE.
- If your organization plans on requesting funds from the LSA or the RROC, have your group's financial officer complete the LSA Funding Request Form and/or RROC Funding Request Form as early as possible. The LSA and RROC Boards meet biweekly to vote on funding. Available funding is limited, so apply early.
- Reserve a room in King Hall using COWS Scheduling System. The Dean's Office will email you as soon as they approve your room reservation. Check "Display on LCD Screens" if you'd like your event info to display on the TVs around King Hall.
- Once your room reservation is approved, submit an announcement for your event HERE to be featured in the LSA President's Weekly Email. If your announcement includes an attachment, email it to the LSA President at pctucker@ucdavis.edu. Announcements MUST be submitted by Friday at 5pm to be included in the next week's email.
- Prepare a flier to advertise the event. Send the flier to your organization's email list and post it on marked "Student Posting" bulletin boards around the school. Do not post fliers on the blank white bulletin boards around school - these sound boards for cutting down echoes in the halls and your fliers will be removed.
- Immediately after your event, remove all posted fliers and throw away all trash. If there is more trash than will fit in the trash cans (pizza boxes, paper plates, etc.) carry the trash outside and put it in the bin located behind the King Hall Coffee Cart.
