LSA Funding Policy and Procedure

***In order to receive reimbursement, you must obtain approval from LSA BEFORE any expenditures***

  1. Review LSA Funding Guidelines.

  2. Complete an LSA Funding Request and submit it to the LSA Treasurer by Wednesday night at least one week before your event. If you cannot meet this deadline, please contact LSA Treasurer Mina Arasteh as soon as possible.

  3. After funding is approved, buy requested items and be sure to obtain an itemized receipt for every purchase. No receipt means no reimbursement. Card statements do not count.

  4. Provide a sign-in sheet at your event (Name, Email, Class)

  5. Complete a Reimbursement Request Form

  6. Submit your (1) Reimbursement Request, (2) original itemized receipt(s), and (3) sign-in sheet(s) to the KH Accounting mailbox by the Dean's Suite, Room 2030, second mailbox on the left or email accounting@law.ucdavis.edu

  7. You will be sent an expense report via email for your signature. Sign and return to KH Accounting mailbox or accounting@law.ucdavis.edu . You will receive a reimbursement check sent to the address provided in approximately three weeks.

Campus Policies:

IMPORTANT REIMBURSEMENT ALERTS

To avoid lengthy reimbursement delays of 2-3 months, please note campus policies below:

1)    Individuals must not disburse over $500 for a single item or purchase - excludes food and travel.  Prior campus approval is required, which could take 3 weeks. 

2)    Do not purchase gifts, flowers or parking permits for University employees or students.  For speakers, consult with KH accounting – strict policy applies.

3)    Students and staff must not pay speaker honoraria; campus will only issue honorarium checks directly to the speaker (requires SS#) and not to a non-profit.

4)    Individuals must not pay for other travelers’ expenses - this includes speakers.

5)    All payments for “services” require prior campus approval (allow 3-4 weeks):

  • Bus rentals
  • Referee fees
  • Transcriptions/Translations, etc.
  • Labor-related services
  • Venue agreements requiring UCD signature
  • If in doubt, consult Law School Accounting Services 

6)    Artists and musicians must not perform on campus without prior campus approval, which requires a signed agreement (allow > 30 days).
